Frequently asked questions

Is there an app that converts a PDF bank statement into a budget report?

Yes — PDF Money Tracker is built specifically for this. Upload a PDF bank or credit card statement and it automatically extracts every transaction, categorizes your spending, and generates a full set of budget reports, with no bank login or account-linking required.

Do I need to connect my bank account to use PDF Money Tracker?

No. PDF Money Tracker never asks for your bank login and never connects to your accounts directly. You upload a PDF statement you already have, and categorization and reporting happen from that file alone — your bank credentials never leave your hands.

Is my financial data safe when I upload a bank statement PDF?

Yes. Statements are parsed and stored encrypted, locally in your browser, using your own account password as the encryption key. Nothing leaves your device unless you turn on optional Cloud Backup, and even then only the already-encrypted data is uploaded.

What kind of reports does PDF Money Tracker create from a statement?

PDF Money Tracker automatically builds financial reports from each statement you upload, including income vs. expenses, spending by category, a 50/40/10 budget breakdown, a month-by-month summary, and credit card or loan balance tracking with a payoff plan.

Can I export my categorized transactions from PDF Money Tracker?

Yes. Every categorized transaction can be downloaded as a CSV at any time, so your data stays portable even outside the app.

Best for: Turning a PDF bank or credit card statement into a full budget report without connecting your bank account.

Standout features: Upload a PDF and the app automatically extracts every transaction, categorizes your spending, and builds a full set of financial reports — including a 50/40/10 budget breakdown and month-by-month summary — while keeping everything encrypted on your device.

🔒 Everything stays on this device by default. Statements are parsed and stored locally in your browser — nothing is uploaded unless you turn on the optional, encrypted Cloud Backup (see the Cloud Backup button above).

Gross includes credit card charges as real spending. Net shows only cash that actually left checking/savings — credit card charges and any transfer or card-payment transaction are excluded from both, so money isn't double-counted.

Backup

Your data lives only in this browser. Export a backup file periodically as your own copy, or restore one below if you have that file. Moving to a new device or phone? Use the Cloud Backup button in the header instead (More ▾ → Cloud Backup) — it doesn't need a file, just your account password.

Community Categorization

When several businesses fix the same merchant the same way, everyone's imports get it right automatically. A merchant becomes a community rule once 3+ businesses pick a category and 60%+ of them agree. Your own corrections always win on your account.

Shared: merchant words with every number removed, the category you chose, and your industry. Never shared: amounts, dates, balances, account numbers, people's names, payment-app transfers (Zelle, Venmo, Cash App, PayPal), or anything containing your name or business name. Turning sharing off deletes every vote you've made. Community rules work on your imports whether or not you share.

Categories & Subcategories

Fixed = recurring, predictable expenses (rent, subscriptions). Irregular = variable spending (dining, shopping). Income = money coming in. Transfer = money moving between your own accounts or credit card payments — excluded from income/expense totals.

Getting Started

How do I get my transactions into the app?

Go to the Import tab, pick (or create) an account, then drag & drop your PDF statement — or tap the dropzone to browse for it. Works best with text-based statement PDFs, which is what most banks export; scanned/image-only PDFs aren't supported yet.

Why do I have to pick an account before importing?

Every statement you upload gets filed under whichever account is selected at the time, so its transactions land under the right checking, savings, or credit card account automatically. If you're importing a new account for the first time, create it right there on the Import tab before you drop the file.

What happens after I upload a statement?

You'll land on "Review Parsed Transactions" — a quick check of the dates, amounts, and categories the app pulled out before anything gets saved. Rows it's less sure about are flagged for a look, and anything it detects as a credit-card payment or a transfer between your own accounts is marked "Transfer" and kept out of your income/expense totals automatically. Uncheck anything that isn't a real transaction, then tap "Save to Tracker."

What if a transaction is categorized wrong?

Fix it right on the Transactions tab (or during the Review step, before you save) using the Category/Subcategory dropdowns on that row. The app learns from that correction and applies it to matching transactions going forward too, not just the one row you fixed.

Categories & Subcategories

How do I edit or add a category?

Open Categories from the More ▾ menu. Use "+ Add Category" to create a new one, or open an existing category to manage its subcategories.

What do Fixed, Irregular, Income, and Transfer mean?

Fixed = recurring, predictable expenses like rent or a subscription. Irregular = variable spending like dining or shopping. Income = money coming in. Transfer = money moving between your own accounts or credit card payments — these are excluded from your income/expense totals since they're not real spending or earning.

How do I recategorize a transaction after it's already saved?

On the Transactions tab, use the Category and Subcategory dropdowns on that row, then tap "Save All." Once corrected, the app remembers the pattern and auto-categorizes similar transactions the same way on your next import.

Cloud Backup & Auto-Sync

Is my data uploaded anywhere by default?

No. Everything is parsed and stored locally in your browser, encrypted with your own account password, unless you turn on the optional Cloud Backup yourself.

How do I turn on automatic backup so my data stays in sync across devices?

Open Cloud Backup from the More ▾ menu and check "Keep this account automatically synced." Once that's on, any change on any device backs up within seconds and every device signed into that account pulls in the latest automatically — no more tapping the backup buttons manually.

How do I get my data onto a new phone or computer?

Sign in there with the same email and password, open the Cloud Backup panel, and tap "Restore on this device" — no file to find or pick. If auto-sync is turned on, that's a one-time step; after that, the new device stays current on its own.

Can I also keep a local backup file?

Yes — the Backup card on the Import tab has an "Export backup (JSON)" button for a downloadable copy of your own, independent of Cloud Backup.

90-Day Coverage (Budget tab)

What does the 90-Day Coverage table actually do?

It starts from a current balance you control (by default, the sum of your checking/savings balances) and projects it forward 90 days from today, using the same bills detected in Monthly Bills above it plus anything you type into Other Expenses — checked against your Planned Income and any Other Income you add. It's always anchored to today, regardless of whichever Year/Month filter you have set elsewhere on the tab.

Where does the starting balance come from?

It defaults to the sum of your checking and savings account balances, but you can override it with your own number if you want the projection to start from something more exact.

What counts as "Planned Income"?

Your Primary Work paycheck, auto-detected as either every-other-week or monthly based on your actual pay history, and editable if it's wrong. Use "+ Add Planned Income" for anything else on a set schedule, like a second job.

What are "Other Income" and "Other Expenses" for?

Anything less predictable than a recurring bill or paycheck — a one-time bonus on the income side, or a planned cost like extra grocery spend or school uniforms on the expense side. Type the amount directly into that day's row in the table; there's no separate form.

Why is a row highlighted red?

That's your heads-up that the projected running balance goes negative on that day — meaning, based on what's currently planned, your expected income may not cover your bills by then.

Using Summary to Double-Check Everything's Accounted For

What's on the Summary tab?

A month-by-month table of Income, Expenses, Transfers, Net, and Savings Rate. Expand any month to drill down: Category > Subcategory > Description, so you can see exactly which transactions are behind any number.

Why is there a Transfers column, and what should I do with it?

Transfers — credit card payments and money moved between your own accounts — are excluded from income/expense totals by design, since they're not real spending. But the auto-categorization occasionally files a genuine bill under Transfers by mistake. Check this column each month for anything that shouldn't be there; if you find a real bill, recategorize it out of Transfers on the Transactions tab so it counts toward your expense totals.

What's a good routine for verifying a month is accurate?

A few things worth doing each time you close out a month: compare that month's Net against what your real bank balance actually changed by — a mismatch usually means something's missing, duplicated, or miscategorized. Expand the month, then a category, then a subcategory to see the individual transaction descriptions behind any total that looks off. Scan the Transfers column for anything unfamiliar. And if you want to see credit card charges counted the moment you swipe rather than when you pay the bill, toggle Gross vs. Net mode at the top of the tab.

Bug Reports & Reviews

How do I report a bug?

Open "Report a Bug" from the More ▾ menu, pick what it's about, and describe what happened. You can optionally attach a screenshot or the statement PDF itself — up to 3 files, 5 MB each — though it's worth blacking out your account number first, since this is the one place in the app where a file you choose to attach is actually sent to the team. Nothing else about your statements ever is.

How do I leave a review?

Open "Leave a Review" from the More ▾ menu, give it a star rating and a short written review, and optionally add a display name. There's a separate checkbox to opt in if you're comfortable having it featured on the PDF Money Tracker website.

Will my review be made public automatically?

No — only if you check the consent box when submitting it, and even then only after the team reviews it.
